Planning Your Wedding Day Timeline in Florida

Your wedding day is one of the most important days of your life, and planning all the details can be daunting. One of the essential parts of planning a wedding is getting your wedding timing right so you have all those wedding details you love in mind. The perfect timing ensures a stress-free day for you and your partner and helps everything else flow seamlessly. We asked three amazing South Florida professional Wedding Coordinators who work with timelines for weddings ALL THE TIME for the most important tips when planning your Wedding Day timeline.

Before the ceremony

Before your big day, it's essential to make sure that everyone, including your wedding party and vendors, has a timeline so they are certain of their places and timing. Zaira Leo from Zaira Leo Events, recommends couples to “allow ample time for hair and makeup, allow ample time for getting dressed, and capture those heartwarming ‘Getting Ready’ photos.” The weather in South Florida can be hot and humid, so allow time for your makeup artist to do their magic. Make sure your Photographer gives you a timeline of wedding photos, too.

Here is a sample pre-ceremony timeline:

10:00 AM – The Wedding Coordinator arrives

11:00 AM – Hair and makeup appointments start for the Couple and Wedding Party

1:00 PM – Photographer arrives and begins taking candid shots

2:00 PM – The Wedding Party gets dressed

4:00 PM – The Officiant, Musician, and all vendors arrive

The ceremony

The ceremony timeline depends on specific religious, cultural, or personal preferences. For a secular wedding in Florida, the ceremony usually occurs in the late afternoon or early evening, around 5:00 PM. When we asked Daniela Zambrano from Daniela’s Events what tips she had for couples during the ceremony, she said couples should “embrace the moment and take your time and savor every step. During vow exchanges, allow yourself to laugh or cry. It's your special day, so relish the experience and create lasting memories.” Daniela is also a big fan of FunPlugged announcements! Once the couple and the wedding party are at the altar, “the officiant allows a brief moment for guests to capture photos. This minimizes disruptions during the ceremony, ensuring optimal photography and videography.”

Once the ceremony is over, it's time to make things legal! Your officiant will notarize your marriage license, and for this part, Zaira recommends “having the Officiant mail your license back to the Florida Courthouse so you’ll have peace of mind to enjoy your honeymoon right after the wedding.”

Rebecca Ponce from Rustic Meets Chic also notes it’s important to “take a few minutes as a couple for a private brief moment, and eat,” so make sure your Wedding Coordinator has a little plate of hors d'oeuvres ready for you.

Here is a basic timeline for the ceremony:

4:30 PM – Guests arrive at the ceremony location. Live Music starts.

4:50 PM – Wedding party lines up

5:00 PM – Ceremony begins. DJ or live musician ensures songs go on time for each group walking down the aisle.

5:30 PM – Ceremony ends, the newlyweds are announced to their guests, and they recess.

After the ceremony

Next, it’s time to celebrate and have fun with your family and friends. The reception usually starts 30 minutes to an hour after the ceremony ends.

Here is a possible post-ceremony timeline:

5:30 PM – Cocktail hour starts with live music or DJ. Newlyweds take pictures with the wedding party and family.

6:45 PM – The Newlyweds’ grand entrance. Couple’s first dance. Speeches begin

7:30 PM – Dinner service starts

8:00 PM – The Newlyweds cut the cake

8:15 PM – Dance with Parents. Open dancing

10:30 PM – The last dance is announced

The timing of your wedding day is critical to its success, so it's always essential to be flexible and prepared for changes. Some things may take longer than expected, while others may run smoothly. We always suggest a Rehearsal to go through all the little details of your big day. Still, having a timeline can help you stay calm and focused on enjoying your special day.

Whether planning a small and intimate wedding or a grand celebration with hundreds of guests, the key is to plan ahead, communicate with your vendors and loved ones, and be prepared for anything. And if your budget allows for one, hire a professional Wedding Coordinator! Rebecca also notes that a Coordinator will take the time to “have a brief conversation or text with all your vendors working together. An effective Wedding Coordinator is the glue that will keep all the puzzle parts connected.
